Helpful hints from
1999-2000 Tech Gazette:
Distribution Lists (September 1999) –
Distribution lists can be found in the global address book. Each list starts with a designator, such as
LS for Lower School, MS for Middle School, and US for Upper School. They can be found after selecting New
Message, then clicking the TO:
button.
Personal Distribution Lists (October 1999) –
Click on new message, select the To: box. Select new,
select new distribution list.
Make sure contacts is selected under Put this entry in the: and click
OK. The untitled distribution list
appears. Name your distribution list. To add members at school, click on select
members and the global address book will appear. Select the members to add to your distribution list by
double-clicking on the name. After
adding all members, click on OK. To add
members to the list that are not at school, click on add new and type in
the display name and the email address of the members you need to add. After adding all members, select Save and
Close in the upper left hand corner.
New Folders in Outlook 2000 (November 1999) – Click on File,
point to Folder, Select new Folder. Type the name of the new folder.
Click on the folder “Inbox”, and click on OK. To view your new folder, select View
in the menu bar , click on folder list.
Deleted Items (November 1999) –
To delete items from the deleted items folder on a regular basis: Click on Tools, select options. Click on the Other tab, select the
first option, empty the deleted items folder upon exiting.

Flag for Follow Up (January 2000) - In an open email message, click on the red flag in
the Outlook toolbar. A dialogue box
will appear. You can flag a message or
contact to remind yourself to follow up on an issue or a message. The drop down menu Due by:
provides a calendar to select a date for a reminder. To clear a flag, open the flagged message or contact,
click on actions, click flag for follow up, click clear flag. (The flag options are also available with
the right click menu.)
Email a bookmark (January 2000)–
While in Internet Explorer, click on the favorites option in the menu
bar. Point to the bookmark you would
like to send, right click, point to send to, select mail recipient. The bookmark will be emailed to the intended
recipient. When received, an attachment
will be displayed with a shortcut icon to the intended page, as well as a
hyperlink to the page.
Global Address Book – (New) The global
address book is now divided between students and faculty/staff. If you desire to see only faculty and staff,
in Outlook click on Tools, select services, click on addressing. Pick the list you would like to see first
(St. Margaret’s Episcopal School is a list of faculty and staff).

FTP – Faculty now have the ability to access their
folders at school using FTP Internet protocol. You can download a program
called FreeFTP using the Quick Link on the resources page and install it on your
computer. The first time that you use
it you must fill in the following information:
FTP URL 206.135.101.25
User ID your SMES logon
ID
Password your SMES password
Click on connect and you will be connected to the staff
folders. Navigate to your folder listed
in the FTP Site Files window, highlight the file that you want to transfer to
your computer, and click receive. The
file will be transferred to your computer into the folder listed. After you have completed working on your
file, you must transfer your file back to your folder on the school
network. Highlight your file listed in
the Your Files window and click send.
There is a status box in the lower left hand corner that displays
messages about the status of your requests.
When you are finished, click disconnect. If you need additional assistance, please check with one of us
in the technology lab for a demonstration.
