Tech Tips

Before You Leave Your Classroom

Remember to do these few things with your computer and mailbox items before you leave campus for the summer. While we make every effort to keep classroom computers where they are, some changes are unavoidable and many classrooms are being used over the summer. If you want to find your technology items in September, protect it now.

  1. Save all files to your folder on the Z or S:Drive. (directions below)

  2. Export Favorites from Internet Explorer to your folder on the Z or S:Drive. (directions below)

  3. Remove all CD’s and disks from your computer before leaving for the summer.

  4. Lock up all disks and CD-ROMs.

  5. Delete all unwanted messages from your Outlook Inbox, Sent Folder, and Deleted Items Folder. (more below)

  6. Save important email in folders you've created in the Folder List under Outlook Today. (more below)

  7. Departing personnel: Please notify the Helpline if you would like to keep your SMES mailbox active until such time that you have another account and people have been notified of your new email address. If there are emails you wish to keep, please forward them as attachments to another account. Likewise, if you have documents in your network folder that you would like to keep, save them onto a disk.

Export Favorites from Internet Explorer to the Z or S: Drive

  1. Open Internet Explorer.
  2. Click on File.
  3. Click on Import/Export.
  4. Click on next.
  5. Click on Export Favorites, click on next.
  6. Make sure the top folder is highlighted (favorites) and click on next.
  7. Click browse. Select the S: Drive.
  8. Double click your folder to open.
  9. Click on save.
  10. Click on next.
  11. Click on finish.
  12. You will receive a message the favorites were exported successfully. Click ok.

Save files to the Z or Y:Drive

If you save things to your computer (Word, Excel, PowerPoint documents, clip art, photos, etc.), you'll need to save them to a network folder to insure finding them upon your return in August. Here's how to do that.

Non-Image Files (Word, Excel, PowerPoint)

  • Locate your files on the C Drive.  (Check in the My Documents folder or any other folder you may have created.)
  • Once located, select non-image files (hold down your Ctrl key and click on Word, Excel, PowerPoint files).
  • Once your files have been selected, hold down the Ctrl  + C keys.
  • Go to your folder on the Z: Drive. (Double click My Computer, double click the Z drive.
  •  Paste the files into your folder (Ctrl + V)

Photo/Video Files

  • If there are photos or video clips saved on your computer,  you'll want to move them to a folder that you created on the Y Drive (Y Drive: File > New > Folder) and named (right click the folder, select re-name), preferably using your last name.

  • Navigate to the C Drive, and copy your picture files.
To select pictures, hold down the
         Ctrl
key and click on those pictures
         you want to transfer.

  • Next, copy the pictures by holding
     down the Ctrl +C keys.

  • Return to the Y Drive, open the folder you created, right click and select paste.

Mailbox Cleanup Directions

A procedure for mailbox cleanup has been in place the past two years. Once again this summer, Technology will clean up mailboxes  in order to make room on our mail server. If you have mail in your Inbox, Sent Folder or Deleted Items folder that you want to keep, please create and/or save your email to folder(s) that you create and label. Important: When you create Outlook folders, make sure they appear under Outlook Today - [Mailbox - your name] and not as a subfolder under "Inbox".  Inbox subfolders are also subject to the 60 day rule.

Question: How do I know if I have any Inbox subfolders?
Answer:   If a plus sign (+) appears next to your Inbox folder, you have subfolders. Click on the + sign and your subfolders appear. If a minus (-) sign is there, your subfolders are already visible.

Question: What can I do if I have Inbox subfolders?
Answer:   It's very simple. With your mouse, click, hold and drag a subfolder up to
Outlook Today - [Mailbox - your name]. Let go of your mouse button and your subfolder will appear in alphabetical order under Outlook Today.

Question: I'm still confused. What can I do?
Answer:   Contact help (ext. 697 or help@smes.org) for assistance
