Organize Your Mailbox!

At press time, SMES has an estimated half a million pieces of e-mail sitting on the server. Keeping in mind that email takes up server space, it behooves us all to do what we can to eliminate unnecessary email. Technology encourages you to make the time to go through your mail and organize the email you want to keep. It's really easy to do this.

  1. Create folders for main subjects (Students, Classroom Info, Projects, Personal Items, SMES Info, Health Info, etc.).

  2. In the section that states "select where to place folder", scroll up to the top and select "mailbox - your name".

  3. Select an email to file. You can select several emails at one time by holding down your Ctrl key as you click on each email item. While holding down the mouse button, drag the email item(s) over to the folder you want to file it in.

  4. Let go of the mouse button.

Over the summer, Technology will delete anything in the "Deleted" and "Sent" folders. The Inbox contents will be left alone. If you want to make sure something is preserved, it's up to you to file it safely away.

Deleting The Delete Items Folder: Microsoft builds many safeguards into its software which may explain why email you've deleted may not really be deleted. When you look in Deleted Items in the Folder List section of Outlook, you may be surprised at how many items are there. [If you don't see folders there, you can go to View on your toolbar (if using Outlook) and check Folder List. If using Web Outlook, click on Folders towards the bottom of the left hand side of your Outlook pane.] There are two ways to permanently delete mail items.

1. Highlight an item, either one by one (a really slow method) or several at a time (hold down the ctrl button while selecting the mail items to delete). When everything you want has been highlighted, let go of the ctrl button and click delete. A box will appear asking if you really want to delete these items permanently. Resist the urge to hit the machine and just click yes .

2. The much simpler and recommended way to permanently delete mail items in your deleted items folder is to select this option in Outlook. You do this by opening Outlook. On the toolbar, click on Action, click on Options, select the Other tab and check "Empty the deleted items folder upon exiting" next to General.
